Quay Group is partnering with a highly private UHNW family to appoint an experienced Estate Manager for their primary residence in the Bay Area, California.
This is an excellent opportunity for an accomplished private household professional to take ownership of the day-to-day operation, maintenance, and presentation of a sophisticated private estate.
The successful candidate will be an experienced, hands-on Estate Manager who combines strong operational and project-management capabilities with exceptional attention to detail.
You will act as the central point of coordination for the property, ensuring staff, vendors, contractors, household systems, maintenance, and ongoing projects are managed efficiently and that the residence is consistently operating at the highest standard.
This is a role for someone who is proactive rather than reactive. The family is looking for an Estate Manager who notices what needs attention, anticipates potential issues, creates effective systems, and takes ownership through to completion.
Key Responsibilities
- Oversee the day-to-day operation and presentation of the residence
- Ensure the property is consistently maintained to exceptional standards
- Manage preventative maintenance programs and property schedules
- Conduct regular property walkthroughs and proactively identify maintenance or operational issues
- Coordinate repairs, servicing, and ongoing maintenance of household systems and equipment
- Manage relationships with vendors, contractors, tradespeople, and specialist service providers
- Source, assess, and engage new vendors when required
- Review proposals, oversee work, and ensure projects are completed correctly, efficiently, and to the expected standard
- Manage household projects, renovations, installations, and property improvements
- Maintain accurate records relating to the property, warranties, service agreements, manuals, inventories, and maintenance history
- Develop and maintain household procedures, checklists, calendars, and operating systems
- Oversee household inventories, supplies, purchasing, and organization
- Coordinate household staff and schedules as required
- Ensure consistently high standards across housekeeping, maintenance, and general property presentation
The Ideal Candidate
We are looking for an established Estate Manager with experience managing a high-value private residence for a UHNW family or principal.
The successful candidate will ideally offer:
- 7+ years of relevant private household or estate management experience
- Proven experience managing a sophisticated private residence
- Strong knowledge of residential property operations and preventative maintenance
- Experience managing contractors, vendors, and complex household projects
- Confidence overseeing renovation, construction, or property improvement projects
- Experience managing and developing household staff
- Strong financial awareness and experience managing household budgets, invoices, and vendor expenditure
- Excellent organizational and project-management capabilities
- Strong technology skills and confidence using modern household and project-management systems
- An understanding of smart-home technology and sophisticated residential systems would be advantageous
- Exceptional attention to detail
- Excellent judgment and problem-solving abilities
- A proactive, solutions-focused approach
- Strong written and verbal communication skills
- The ability to manage multiple priorities without requiring significant oversight

The Estate Manager will be expected to develop a deep understanding of the property and how the principals like their home to operate, allowing them to anticipate requirements, identify potential problems early, and quietly ensure everything is taken care of.
