House Manager / Personal Operations – Private Family
Location: Bay Area, CA
Schedule: Full-Time | Onsite
Compensation: $150,000- $200,000 DOE
Quay Group is partnering with a private family in the Bay Area to find an exceptional House Manager / Personal Operations professional to take ownership of the day-to-day running of their home and support a wide variety of household, family, and personal projects.
This is a fantastic opportunity for someone who combines private household experience with a modern, highly tech-fluent approach.
The family is not necessarily looking for the most senior or traditional House Manager in the market. They are open to someone earlier in their private-service career who has gained solid experience within a small number of high-quality private households and can demonstrate exceptional potential, judgment, initiative, and technology skills.
The right person will be smart, resourceful, hands-on, highly organized, and genuinely excited about using technology and AI to make things work better.
The Role
This is a varied and highly hands-on position supporting a busy, modern household.
You will take responsibility for ensuring the home runs seamlessly, managing vendors and projects, staying ahead of maintenance requirements, and handling the countless details that make family life easier.
Responsibilities will include:
- Managing the day-to-day operations of the residence
- Coordinating household maintenance, repairs, and preventative maintenance
- Managing vendors, contractors, and service providers
- Supporting renovation, construction, design, and home-improvement projects
- Tracking projects, timelines, outstanding items, and follow-up
- Conducting regular household walkthroughs and proactively identifying anything requiring attention
- Researching products, services, vendors, and solutions and making thoughtful recommendations
- Managing household purchasing, deliveries, packages, returns, and organization
- Coordinating groceries, household supplies, dry cleaning, and other day-to-day requirements
- Helping manage household calendars, appointments, and family logistics
- Supporting personal projects, travel, events, and ad hoc requests
- Managing invoices, documentation, and household records
- Creating and maintaining effective household systems, schedules, and processes
- Using technology and AI tools to improve organization, research, communication, and efficiency
- Working collaboratively with existing household staff and external providers
- Providing hands-on assistance with smaller household tasks whenever required
Who We're Looking For
We are looking for someone who has real private household experience, but we are open-minded about the number of years you have been doing it.
You may already be an established House Manager, or you may have worked within one or two sophisticated private households and be ready to take the next step.
Experience supporting founders, CEOs, VCs, entrepreneurs, technology executives, or similarly fast-moving families would be particularly relevant.
You will ideally be:
- Exceptionally organized and detail-oriented
- Highly proactive and naturally several steps ahead
- Extremely comfortable with technology and AI
- Quick to learn new platforms, systems, and tools
- A strong researcher who enjoys figuring things out
- Confident managing household vendors and contractors
- Comfortable supporting construction, maintenance, or property-related projects
- Able to manage multiple projects and priorities simultaneously
- Resourceful and solutions-focused
- Comfortable working independently without constant direction
- Naturally hands-on and willing to tackle tasks both large and small
- Warm, personable, and easy to work with
- Discreet and trustworthy with excellent judgment
- Interested in building a genuine long-term relationship with a family
Experience with tools such as Google Workspace, Notion, Asana, Airtable, Claude, or similar platforms would be particularly attractive. You don't need to know every system already, but you should be someone who instinctively embraces technology and learns new tools quickly.
The Mindset
This is not a formal household and the family is not looking for someone who simply delegates tasks to others.
You might spend part of your day managing a contractor or working through a property project, and another part researching a purchase, dealing with packages, organizing something within the home, troubleshooting a technology issue, or handling an unexpected family request.
Nothing should feel "beneath" you.
The successful candidate will be someone who sees something that needs doing and thinks "I'll take care of it", whether it is a significant project or a small household detail.
Strong, verifiable references from previous principals are essential, and the family is particularly interested in candidates who can demonstrate good tenure and long-term commitment in previous positions.
