Personal Assistant / House Manager – UHNW Family

Location: Marin County, CA
Salary: Competitive DOE
Schedule: Full-Time | Primarily Remote with Regular Onsite Availability
Flexibility: Some weekend availability required

Quay Group is partnering with a highly successful UHNW couple to appoint an exceptional Personal Assistant / House Manager to support their busy family and lifestyle in Marin County.

This is an exciting opportunity for an extremely capable, independent, and high-functioning individual who thrives on getting things done.

The principals have a fast-moving lifestyle. They are looking for someone who can become a trusted right hand, take ownership of projects and priorities, anticipate what needs to happen next, and execute with minimal direction.

This is not a traditional formal household position. There is no butler-style service or highly formal estate environment. While the role includes elements of house management, the emphasis is on personal assistance, project management, organization, problem-solving, and execution.

The Role

No two days will be exactly the same. The successful candidate will work closely with the principals to ensure their personal, family, and household lives run seamlessly.

Responsibilities will include:

  • Acting as a trusted Personal Assistant and key point of support to the principals
  • Taking ownership of a wide variety of personal, household, and lifestyle projects from concept through completion
  • Managing multiple projects, priorities, and deadlines simultaneously
  • Anticipating needs and proactively resolving issues without requiring significant direction
  • Coordinating personal appointments, schedules, reservations, and day-to-day logistics
  • Managing complex travel arrangements, including private aviation
  • Overseeing household vendors, contractors, maintenance, and service providers as required
  • Coordinating household repairs, improvements, and ad hoc projects
  • Researching, sourcing, and executing personal and household requests
  • Managing purchases, deliveries, returns, gifting, and other lifestyle requirements
  • Ensuring the residence is organized, well maintained, and operating efficiently
  • Assisting with pet-related logistics when required
  • Handling confidential personal information with complete discretion
  • Providing flexible support when the family is particularly busy, including occasional weekends

The Ideal Candidate

This role is all about capability, judgment, independence, and execution.

The family is looking for someone who can be given an objective rather than a detailed set of instructions and confidently figure out how to make it happen.

You will ideally have:

  • Significant experience supporting UHNW individuals, entrepreneurs, founders, or private families
  • A strong background in Personal Assistance, Executive Personal Assistance, House Management, Family Office, Chief of Staff support, or a similar high-level private role
  • Excellent project-management skills and a proven ability to take projects from idea through execution
  • An exceptionally proactive and solutions-focused approach
  • The ability to operate independently with minimal oversight
  • Strong organizational skills and outstanding attention to detail
  • Excellent research and problem-solving abilities
  • Confidence juggling multiple competing priorities in a fast-moving environment
  • A modern, adaptable approach to private service
  • Comfort working with technology and using systems to improve efficiency
  • Experience supporting technology founders or entrepreneurial principals would be particularly relevant
  • Experience coordinating private aviation is advantageous
  • Complete discretion, professionalism, and excellent judgment

Above all, you will be someone who sees what needs to happen, takes ownership, and gets it done.

Working Arrangement

The role offers a degree of flexibility and will be primarily home-based, but this should not be viewed as a traditional remote position.

The successful candidate must live within a reasonable distance of Marin County and be able to attend the family's residence whenever required. There will also be occasions when weekend support is necessary depending on the family's schedule.

The family needs someone who values flexibility and autonomy while understanding that private service ultimately requires being available when needed.

This is an exceptional opportunity for a highly capable PA/HM who enjoys working with dynamic, entrepreneurial principals and wants a role offering significant autonomy, variety, responsibility, and trust.
