Senior Executive Assistant – Private Investment Firm
Quay Group is partnering with a highly regarded private investment firm in Dallas to appoint an exceptional Senior Executive Assistant to support a senior investment executive.
This is an opportunity for an accomplished executive support professional who has built their career within a sophisticated, fast-paced financial environment and is accustomed to operating at the highest level.
We are seeking someone who brings far more than traditional administrative expertise. The successful candidate will be a trusted partner to their executive, demonstrating exceptional judgment, initiative, intellectual curiosity, and the confidence to take ownership of complex responsibilities.
The role requires someone who can anticipate needs, understand the bigger picture, navigate competing priorities, and operate independently while maintaining the highest standards of professionalism and discretion.
The Position
Working closely with a senior investment executive, you will provide comprehensive business and personal support in a demanding, high-performance environment.
Responsibilities will include:
- Managing a complex and constantly evolving calendar, proactively prioritizing commitments and protecting the executive's time.
- Acting as a trusted point of contact, confidently liaising with senior investment professionals, business partners, and internal and external stakeholders.
- Coordinating complex domestic and international travel, meetings, and business engagements.
- Taking ownership of projects and initiatives, managing competing deadlines, anticipating challenges, and ensuring successful execution.
- Preparing and coordinating meeting materials, correspondence, presentations, and confidential documentation.
- Exercising sound independent judgment, resolving issues proactively, and making informed decisions when priorities shift.
- Supporting personal and lifestyle requirements, including property-related matters, vendors, appointments, and other private arrangements.
- Building strong working relationships across the organization while maintaining absolute confidentiality.
- Identifying opportunities to improve processes, streamline workflows, and enhance the effectiveness of executive support.
The Ideal Candidate
We are particularly interested in speaking with experienced Executive Assistants who have supported senior executives, investment professionals, or C-suite leadership within hedge funds, private equity, or alternative investment management firms.
You will bring:
- A strong track record providing high-level executive support within a demanding financial services environment, ideally hedge funds or private equity.
- Experience supporting senior investment professionals, managing partners, founders, or C-suite executives.
- The ability to demonstrate meaningful ownership of complex responsibilities, projects, and initiatives.
- Exceptional judgment, problem-solving ability, and confidence in making decisions independently.
- Strong business awareness and an understanding of the pace, expectations, and priorities of senior investment executives.
- Excellent communication skills, with the ability to articulate ideas clearly, build relationships, and engage confidently with senior stakeholders.
- A proactive, resourceful approach, with the ability to anticipate requirements rather than simply respond to instructions.
- Outstanding organizational skills, attention to detail, and the ability to manage multiple priorities under pressure.
- A professional, polished, collaborative personality with energy, enthusiasm, and a genuine commitment to excellence.
- A stable career history demonstrating progression, commitment, and long-term professional relationships.
- A bachelor's degree is preferred.
Above all, we are looking for someone who can demonstrate the substance behind their experience. The successful candidate will be able to speak confidently about the responsibilities they have owned, the challenges they have navigated, and the value they have brought to the executives they have supported.
Location & Relocation
This position is based onsite in Dallas, Texas.
We welcome applications from exceptional candidates currently based in New York, Chicago, Houston, Austin, and other major U.S. financial markets who are genuinely open to relocating to Dallas.
